Copy and Transfer

The [Sharing] feature in the [Administration] tab allows other users to copy and/or transfer content to Libraries you manage. The manager of the Library receiving content must initiate the sharing relationship. To initiate the sharing relationship, the manager of the receiving Library will need to know the Organization and Library the content will be sent from to complete this process. This information can be found at the top of the screen, when the user who will be sending content is logged in and has the Library from which content will be sent, selected.

Adding a Share

  1. Click the [Administration] tab.
  2. Click [Library] from the Administration menu.
  3. Click [Sharing] from the Library menu.
  4. Click [+ Add].
  5. Select appropriate organization, for the Library from which content will be sent, from the the [Select an Organization] drop-down menu. 
  6. Select the Library from which content will be sent, from the [Select one or more Libraries] menu.
  7. With the Organization and Library selected, click [Add to My Shares] to add the share.
  8. Once the share is added, check the [Copy] or [Transfer] checkbox to allow the Library to share content with your library.

 

Deleting a Share

  1. Click the [Administration] tab.
  2. Click [Library] from the Administration drop-down menu.
  3. Click [Sharing] from the Library drop-down menu.
  4. Click [Delete] located to the right of the Source Media Library name you wish to delete.
  5. Click [Yes].

 

Copy Content to Shared Library

Copying content to another a shared Library allows other users to have access to the shared Library to view and manage the content if they have access. You can make changes to your copy, and changes can be made to the copy in the shared Library without effecting one another. 

Note: The sharing relationship must be established in order to copy content to a shared Library.

  1. Click [Publish] to the right of the media item you wish to copy.
  2. Select the check-box next to the Library you wish to share the copied media item with from the [Shared Libraries] expandable menu.
  3. Click [Publish].

 

Copy Content to Another Library

Copying content to another Library gives the manager of the Library a copy of your content. You can make changes to your copy, and the manager of the other Library can make changes to their copy without effecting one another.

Note: The sharing relationship must be established in order to copy content to another Library.

  1. In the [Media Library] tab, Click [Copy] to the right of the media item you wish to copy.
  2. Select the Library you wish to copy the media item to, from the drop-down menu.
  3. Click [Copy Content].

 

Transferring Content to Another Library

Transferring content gives the media item to manager of the Library. Once the media item is transferred, you will no longer have access to the media item.

Note: The sharing relationship must be established in order to transfer content to another Library.

  1. Click [Publish] to the right of the media item you wish to transfer.
  2. Select the check-box next to the Library you wish to transfer the media item to, from the [Shared Libraries] expandable menu.
  3. Click [Publish].
